Bank Reconciliation for Retailers: Matching Counter Sales with Bank Deposits
How Nepali retailers can match counter sales to bank deposits and wallet settlements: split tenders, timing gaps, and the few differences that should be left unexplained.

Bank reconciliation for a shop is not an accounting ceremony. It is checking that money which left the counter as “bank” or “wallet” later appears in the account you think it does.

Split the day before you open the bank app
Cash sales belong in the drawer and then in a deposit, if you deposit cash. Wallet and QR sales belong to those settlements. Credit sales belong to customers, not to today’s deposit.
If every bill was saved as cash, reconciliation cannot start. Fix the payment type on the next sale. Do not “adjust” the bank to match a mixed total.
Timing and fees are normal. Missing bills are not.
A Fonepay or bank QR payment late in the evening may show on the next statement. Wallet fees mean the credit is smaller than the bill total. Write that difference down as a fee, not as a loss of goods.
A deposit with no bills, or bills with no deposit, needs a name and a date. Owner drawings, supplier payments from the drawer, and personal QR codes are the usual causes.
A weekly match is enough for most shops
Daily drawer counts catch cash. A weekly pass over the bank and wallet statements catches QR sales that were mistyped. Month-end is too late to remember which Saturday was short.
Keep the float fixed. Variable opening cash makes every deposit look wrong.

- Only if you deposited all of today’s cash and you had no wallet, credit, or expenses paid from the drawer. Otherwise match each channel on its own.
- Who should do this?
- Someone who did not take every payment alone, when the shop is large enough. The person who sells should not be the only person who can explain the bank.
