Simplifying Cash Counter Reconciliations and End-of-Day Sessions

A simple end-of-day routine for Nepali retail counters: match cash, wallets, and credit sales to the POS, and close the session while the cashier is still there.

Reconciliation fails when it is postponed. The cashier has gone home, the reason for a Rs. 500 gap has been forgotten, and the owner is looking at a total that mixes cash, QR payments, and udharo.

A session close is just a fixed order of checks. Sajilo IMS daily sales figures are the system side of that check.

Split the day by how customers paid

Count physical cash against cash sales, not against all sales. Wallet and bank QR totals must be matched to those settlements, and credit sales must be matched to customers, not expected in the drawer.

If the billing screen lets staff pick a payment type, use it honestly. Dumping every bill into “cash” makes the drawer impossible to explain.

Close while both people are present

The cashier counts. A second person reads the day’s sales. Differences get a note the same evening: a wrong tender, a late return, an expense paid from the drawer.

Small gaps need a habit, not a speech. Repeated gaps on one login need a conversation and tighter roles. Sajilo IMS user roles exist so one shared password is not the whole control system.

Leave the next morning clean

The opening float should be a known amount. Expenses and owner drawings should not hide inside the sales total.

If bills were written during an outage, enter them before you call the day closed. An unentered slip is tomorrow’s stock error.

A small, occasional cash difference can happen. A difference every day, or a growing wallet mismatch, means tender types or returns are being skipped. Fix the habit, not the total.
Who should be allowed to close the day?
Someone other than the only cashier, when the shop is large enough. The person who sells should not be the only person who can change the record.
