How to Add Counter Staff Without Giving Them Full Access to Your Books

How Nepali shop owners can add cashiers with roles: sell and search, without editing costs, deleting bills, or seeing every warehouse.

New counter staff need to find a product, take payment, and print a bill. They do not need to change purchase cost, delete yesterday’s sales, or see what every branch holds.

Three roles cover most shops

Cashier: sell, search, and reprint. Supervisor: returns, discounts above a limit, and the day’s count. Owner: costs, purchases, stock adjustments, user setup, and reports.

A godown person who only receives goods should not share the cashier login. Receiving and selling are different controls. If one person does both in a small shop, they can hold both roles, but it should still be their own user.

One person, one login

Create the user on their first day and sign the owner out of the counter browser. Write the cashier password down for them, not on the monitor. Change it when they leave, the same day.

If a bill is wrong, the login on that bill tells you who to ask. A shared login tells you nothing.

What to lock first

Lock cost and selling-price edits, bill deletion, and stock adjustments that can hide a shortage. Discounts can stay available up to a small limit, with a supervisor for the rest.

Review the list after a month. If staff are calling the owner for routine work, the role is too tight. If the owner is still fixing surprise price changes, it is too loose.

Yes, if both of you sell. Separate logins take a minute to create and make a later dispute explainable. Permissions can still be broad for the owner.
Can a cashier see stock?
They usually need to see whether the item is available at their location. They do not need purchase cost or other branches’ valuation unless you want them to.
