Customer and Supplier Ledgers: Replacing the Paper Khata for Good
How Nepali shops can replace the paper khata with customer and supplier balances built from sales, returns, and goods receipts.

The paper khata fails when two people write in it, a page goes missing, or a payment is entered on the wrong customer. The digital version fails for the same reasons if staff still keep a side book.
A customer ledger is the credit sales, returns, and payments for that person. A supplier ledger is the goods you received and the payments you made. Sajilo IMS already ties sales and purchases to parties and to stock. That link is the ledger.
One name per party
“Ram,” “Ram Dai,” and “Ram Store” become three balances that are all wrong. Pick one customer record and one supplier record. Merge the habit, not the history, by using that record from today.
Cash customers can stay as cash. Do not open a ledger for every person who paid immediately. Open one when you expect to collect later, or when a supplier delivers before you pay.
You are owed, and you owe
Owners stare at customer udharo and forget supplier bills. A shop can look profitable and still be unable to reorder because payables were never listed.
When goods arrive, receive them in Sajilo IMS against the supplier. When you pay, record the payment against that receipt history. A transfer from your personal account is still a payment, if it settled a business bill.
Retire the notebook on a named day
Enter opening balances you are willing to defend, then stop writing new lines in the khata. A parallel book will win, because it feels faster, and the system balance will be ignored.
Print or show the balance when the customer asks. Disputes get settled from bills, not from “I think I paid last month.”

- What if the old khata total is doubtful?
- Agree an opening balance with the customer or supplier and start clean. Carrying a number nobody believes just moves the argument into the new system.
- Should staff see every balance?
- Cashiers need the customers they sell to. Purchase cost and full supplier exposure can stay with the owner. Use roles so the ledger is shared on purpose.
