eSewa, Khalti, Fonepay, and NepalPay at the Counter: One Reconciliation
How to record eSewa, Khalti, Fonepay, and NepalPay at a Nepali counter so one evening routine can match bills to settlements and fees.

Customers will pay with whichever app they already have. eSewa, Khalti, Fonepay, and NepalPay can all be on the same counter. The shop’s job is to record which one paid this bill, then match that list to what each provider settled.

Name the tender on the bill
Before you hand over the goods, confirm payment on your merchant notification and save the bill as that method. “QR” as a single bucket is only acceptable if you truly have one provider. Four providers in one bucket cannot be reconciled.
Never mark a wallet sale as cash. The drawer will be short by exactly the amount you were proud to collect quickly.
One routine for every provider
For each method, compare the day’s bills to that provider’s statement. The gap should be a fee, a timing difference, or a bill saved with the wrong type. Write the fee down. Do not hide it inside a stock adjustment.
Do this on a schedule you will keep. Daily is ideal for a busy counter. Weekly is the latest a smaller shop should wait. Month-end across four apps is how amounts get written off.
Fewer methods, fully closed, beat every method half-managed
If staff cannot tell the apps apart in a rush, accept fewer of them. Train one drill: cash, one wallet, and credit. The drawer contains only the cash.
Shop QR codes should belong to the business. A personal code is an unrecorded drawing, even when the customer paid in full.

- Do not assume it. Match each provider on its own timing. A next-day credit is normal. A missing credit is not.
- What if the customer paid the right shop but we picked the wrong tender?
- Correct the payment type with a trail, the same day if you can. Leaving it makes both the drawer and that wallet’s statement wrong.
