How to Transition Your Shop from Excel Sheets to Sajilo IMS in Under 24 Hours
A one-day plan to move a Nepali shop from Excel to Sajilo IMS: clean the sheet, import products, enter opening stock, and bill the same day without running two systems.

Excel feels flexible until two people edit it, the file is emailed, and stock is a formula nobody wants to touch. Sajilo IMS import and export exist so you are not typing every SKU by hand.
A full catalog for a large mart can take longer than a small shop. For a typical single-outlet retailer, a careful day is enough to start billing in the system. Many smaller setups are ready in far less than that once the sheet is clean. This is a same-day plan, not a promise that a chaotic workbook imports itself.
Morning: clean the sheet before you import
One row per sellable item. Columns you actually need: name, unit, barcode if you have it, category, cost, selling price, and quantity on hand per location. Delete duplicate names and blank rows. Decide Nepali names now.
Do not import every historical sales tab. Opening quantity is what you counted, or what you are willing to count today. A guessed “closing stock” cell from last year will poison the new system.
Midday: import, then check a sample
Import products into Sajilo IMS and open a sample of fast movers, expensive items, and anything with a barcode. Fix units that came in as text. Set reorder levels only on the short list that matters.
Create the warehouse or shop location and enter opening stock. If you have a godown and a floor, do not dump both quantities into one bucket.
Afternoon: one live shift, Excel retired
Train the cashier on search or scan, a cash sale, a return, and the payment type. Run real customers in Sajilo IMS. Keep Excel closed. A parallel sheet “for safety” becomes the real stock list by evening and the migration has failed.
At close, reconcile the drawer to the day’s sales. Tomorrow, receive purchases in the system. The support team can help if import columns do not line up. Register, then book that help before the day you intend to switch, not during the Saturday queue.
Frequently asked questions
- What if our Excel file is huge and messy?
- Migrate active products only. Park dead SKUs. A clean short list that you bill today beats a perfect import that starts next month.
- Can we go back to Excel if the day goes badly?
- You can export, but decide the cutover in advance. Switching back and forth for a week doubles every sale. Fix names and barcodes in Sajilo IMS instead of reopening the sheet.
