Hardware, Jewelry, and Mobile Shops: Variant and Serial Tracking in Practice

How hardware, jewelry, and mobile shops in Nepal should track variants and serials so one model name does not hide different sizes, weights, or IMEI numbers.

Sajilo IMS POS and inventory at a retail checkout in Nepal

Hardware, jewelry, and mobile shops all look simple at the counter and messy in the godown. One catalogue name covers many different things: a drill of a different size, a gold piece of a different weight, a phone with its own IMEI.

Track the difference that changes price or that you must trace after the customer leaves. Sajilo IMS products, barcodes, and batch or serial-style identities are only useful if that difference is on the item before it is sold.

Hardware: size and unit before brand story

A fastener, pipe, or tool sold in more than one size needs its own SKU or variant, with the unit staff actually sell (piece, box, foot). A barcode on the fast movers beats a search through similar names during a queue.

High-value machines and power tools should carry a serial or unique identity so a warranty return comes back to the unit you sold, not to “some drill.”

Jewelry: weight and making are the variant

Pieces that are priced by weight cannot share one quantity with a single rate if their weights differ. Give each piece, or each weight-and-design combination you truly stock as identical, its own record and its own price.

When the piece sells, that record should leave stock. Editing the weight on a shared product after the sale destroys the trail of what left the cabinet.

Mobile: one handset, one identity

Record the IMEI or serial when the handset is received, and sell that identity, not only the model name. Two phones of the same model are not interchangeable once a customer has a warranty claim.

Accessories can stay as ordinary SKUs with quantities. Do not force a serial onto a cable. Do force it onto the phone.

Frequently asked questions

Can similar items share a barcode?
Only if they are the same SKU at the same price. Different sizes or different handsets need to be distinguishable at scan or at search.
What if we already sold phones with no IMEI stored?
Start on the next receipt. You cannot reconstruct a reliable serial history from memory, and a guessed IMEI is worse than a blank one.
