Understanding IRD E-Billing and CBMS Sync for Retail Stores in Nepal

A plain-language overview of IRD e-billing and CBMS for retail stores in Nepal: what problem they solve, and what to confirm with your accountant and software provider.

Sajilo IMS POS and inventory at a retail checkout in Nepal

VAT-registered retailers in Nepal are expected to issue proper tax invoices, and IRD’s Central Billing Monitoring System (CBMS) is how approved billing software reports those bills. This is a tax process, not a design feature.

This article is an orientation so you can ask better questions. It is not tax advice, and it does not claim that any specific screen in Sajilo IMS is an IRD approval by itself. Confirm your obligations with your accountant or IRD, and confirm the billing setup with your software provider.

What e-billing and CBMS are for

E-billing means the invoice is created in software, with a consistent bill number, seller and buyer details where required, and the amounts your registration needs. CBMS is IRD’s system for receiving bill data from billing software that is set up to sync.

The point for a shop is simple: the bill you hand the customer and the bill on record should be the same bill. Side notebooks and unnumbered slips do not meet that bar.

What to ask before you rely on a POS

Ask your accountant whether your registration requires CBMS-synced billing, and from when. Ask the software provider how invoices are issued for that case, what must be printed, and what happens if the sync fails for an hour.

Keep itemized sales in the POS either way. A clean bill history—items, prices, discounts, returns—is what makes a later correction possible. Sajilo IMS keeps those sales and receipts. Treat tax registration details as a setup you verify, not as a slogan on a homepage.

Counter habits that matter more than the logo

Every taxable sale should be a saved bill, including busy hours. Voids and returns need a reason and a user. Sharing one login makes it impossible to see who changed a bill.

If the connection required for sync is down, follow the fallback your provider and accountant described, then clear the queue when the link returns. Do not invent a second series of paper bills that never enter the system.

Frequently asked questions

Does every shop in Nepal need CBMS?
No. It depends on your tax registration and IRD’s current rules for your business. Ask your accountant. Do not copy another shop’s setup.
Can we stay on a normal receipt and file tax later from Excel?
If you are required to issue monitored tax invoices, rebuilding them at month-end from rough notes is how bills and stock diverge. Get the requirement clear first, then bill in the system you will stand behind.
