Multi-Currency Billing for Importers and Wholesalers in Nepal

How Nepali importers and wholesalers should handle foreign-currency purchases: convert to NPR with landed cost before goods receipt so stock value stays in one currency.

Importers buy in dollars or yuan and sell in NPR. If the product cost stays in the foreign amount, every margin report is fiction. If each bill uses a different guessed rate, the godown value swings for no physical reason.

The practical control is to convert once, at receipt, into a landed cost in NPR. Later sales then consume that cost. You do not need a second set of books in the foreign currency on the shop floor.

Landed cost is the number that matters

Landed cost is the foreign price times the rate you used, plus freight, duty, and other costs you are willing to load onto the unit. A missing duty line makes the item look more profitable than it is.

Decide the rate when you know it, and write it on the purchase papers. Changing the rate after you have sold half the lot rewrites history.

Receive stock in NPR

Enter the goods receipt in Sajilo IMS with the NPR unit cost. The foreign invoice can stay in the file as support. Stock valuation then speaks one currency, which is the currency you pay rent and wages in.

If a shipment arrives in parts, cost each receipt with the costs that belong to that part. Do not wait for the last carton before any unit has a cost.

Selling price still has to survive the rate

A price list set last month may be below replacement cost after a rate move. Check fast movers when the rate moves sharply, before you sell the next lot at the old price.

Do not keep two selling prices, one “dollar” and one “rupee,” unless the customer is genuinely invoiced that way and your accountant has agreed how it is recorded.

Frequently asked questions

Should the POS show dollars?
Only if you truly invoice in dollars. For local wholesale, show and store NPR. Keep the foreign invoice as the backup for the rate you used.
What if the bank rate differs from the rate on the invoice?
Pick one rate rule with your accountant and keep it. The damage comes from mixing rates inside one shipment, not from which official rate you chose.
