Online Orders and Counter Sales Sharing One Stock Count

How Nepali shops can take counter sales and phone or social orders from one stock count, without overselling the same piece twice.

Many Nepali shops are already omnichannel in practice. They sell at the counter and they reply to phone, WhatsApp, and social messages. The website is optional. The stock problem is not.

Both channels have to reduce the same on-hand quantity in Sajilo IMS. A separate “online sheet” will drift the same afternoon.

Enter the order when you promise the goods

When you tell a customer the item is reserved, save the sale or the dispatch against the warehouse that will supply it. A promise in a chat is invisible to the cashier.

If the customer might not take it, do not leave a half-finished bill open all day on the only terminal. Agree a short hold, then either complete the sale or release the quantity.

Be explicit about which shelf fulfills

If the counter and the parcels leave from one shop, one location is enough. If a godown fulfills delivery and the shop floor fulfills walk-ins, transfer or issue from the correct place. Company-wide stock that nobody can find is not available stock.

Returns from either channel come back to a location, with a reason. A parcel refusal that never re-enters stock is a loss you will count later as “shrinkage.”

Payment can arrive later. Stock cannot wait.

COD and “I will pay when I pick up” are payment timing. The items still have to leave the available quantity when they leave your control. Mark the payment type honestly so the drawer is not expected to hold that money today.

Do not run a second catalog with different prices in the chat and in the POS. When the price in the message is the price you will honour, that is the price on the saved sale.

Do we need a full web store?
No. You need every accepted order entered against stock. A storefront that does not reduce the same quantity creates a faster way to oversell.
Who should type phone orders?
Someone with a login and a rule for which location they sell from. If only the owner’s phone has the chats, the owner has to enter them the same day.
