Pharmacies and FMCG businesses share a problem general retail can sometimes ignore. The same product arrives in many lots, with different expiry dates and sometimes different costs. A single on-hand number cannot answer “which strip is this?”

Receive the lot, not just the product

Staff should pick the earliest expiry that is still saleable. That is an issuing habit. The system cannot rotate a shelf that nobody looks at.

Do not reorder a problem

A low-stock alert on an item that still has a near-expiry batch in the godown should lead to a transfer or a sale push, not an automatic new purchase. Check expiry before you approve the order.

Set reorder points on lines that move. A slow pharmacy item with a long supplier lead time needs a higher minimum than a fast FMCG line you can get tomorrow.

When someone asks which batch you sold

If the sale or the issue names the batch, you can list who received that lot. If sales only reduce a blended quantity, you cannot. The extra seconds at receipt are the whole feature.

Damaged or expired units leave through an adjustment with a reason, not through a fake cash sale. Your accountant and, where it applies, your regulator will ask for that distinction.

No. Batch records help you operate and answer questions. Licences, storage rules, and what you may sell are separate obligations. Follow those with the authorities that govern your shop.
What if the supplier reuses batch numbers?
Add the expiry or the receipt date so the two lots stay distinct. Two different shipments must not become one bucket.
